We are pleased to host the 2026 Supplier Showcase on Monday, May 18, 2026, from 9:00 a.m. to 3:00 p.m. at the U of A Student Union Grand Ballroom.
Only university vendors who were sent an invitation can register for this event.
General Event Information
- Early check-in: 7 to 8:45 a.m.
- All suppliers must be fully set up by 8:45 a.m.
- Dismantle Hours: 3 to 5 p.m.
- Please do not dismantle booths before 3:00 p.m.
Set-Up and Assistance
- Early Set-Up: Sunday, May 17, 2026, from 3 to 5 p.m.
- Offloading and unloading assistance available during early set-up and on the day of the showcase
- Please indicate during registration if you plan to set up early
Booth Information
- Booth Fee: $500 per booth
- Booth Size: 8’ x 8’
- Booths are pre-assigned.
- Please check in at the vendor registration table upon arrival to receive your booth assignment.
- Booths may not be dismantled before the event officially concludes.
Provided Equipment:
- One six-foot table
- Two chairs
- Table covering (you may bring your own if preferred)
If electrical access is needed, please request it during registration. Suppliers are responsible for bringing their own extension cords and/or power strips.
Hotel Accommodations
Suppliers are responsible for making their own hotel arrangements. Links to book at these hotels are available at the event registration page. You can also access it through the link in your initial invite email.

- Overnight self-parking is available for $20 per night. Overnight valet parking is available for $25 per night.

Shipping, Storage & Materials
If you require storage or pre-shipping of booth displays or materials, all items must be clearly labeled with your business name and include the following:

Participants are responsible for shipping costs. Additionally:
- Items must be received no later than Friday, May 10, 2026.
- Please ensure all boxes requiring return shipping are clearly labeled with your preferred destination and carrier instructions.
- Return shipments will be sent per your instructions and carrier.
- The event organizers are not responsible for lost or damaged items.
Meals and Refreshments
- Continental breakfast provided day of from 7 a.m. to 8:45 a.m.
- Snacks and beverages available throughout the event
- Boxed lunches will be provided. Please notify us of any vegan preferences or food allergies when registering.
Parking
One complimentary parking permit will be provided per supplier for entry into the parking garage. Additional parking permits can be purchased.
- Each supplier will receive one parking pass for the day of the Showcase.
- If you plan to set up early on Sunday, an additional parking pass may be purchased for $12.
- Parking permits must be obtained prior to parking in the Second Street Garage.
- Parking permits and unloading assistance will be available at the loop/turnaround just north of the student union.
- Parking allows one entry only into the garage.
- If you exit during the showcase, a re-entry fee will be charged at the garage’s standard rate.
- To unload materials, please use the loop/turnaround just north of the Student Union.
- Showcase staff will be on site to assist with unloading and direct you to the ballroom.
